1. Submit an Ed-Tech Survey Monkey Request form to request an Enterprise license with Ed-Tech.
   • If you have an existing Survey Monkey license at BCM, follow the instructions below for Move an Existing Survey Monkey Account to Ed-Tech.
2. Users will receive an invitation by email. Once the invitation has been accepted, then you'll be requested to set up an account (Name, BCM Email & local password are required to set the account up). Use your ECA@bcm.edu address and not firstname.lastname@bcm.edu email address.
3. All new accounts will be set up as casual users.
4. If you want a Power seat, click Request Power Seat at the top of any page to send your Primary Admin a request, or click Request feature when you see a locked feature you’d like to use.  *At this time there are limited Power User licenses.

Note: At this time, Survey Monkey is not connected to SSO. Your license can have two devices registered and logged in at a time. That also means you can have two concurrent users for the account.

Power Users can create and share surveys using all the Enterprise features and tools. Casual Users have access to simple SurveyMonkey features and can create surveys and preview teammates' work. Enterprise teams have unlimited Casual seats.

SurveyMonkey's Microsoft Power BI integration lets you connect SurveyMonkey response data to Power BI Desktop. Power BI lets you create data models, visually display your data with charts and graphs, and create reports.

Only Power Users can send surveys and access the Power Bi integration through Survey Monkey.  Surveys can only be sent to Power Bi one at a time.  Once surveys are in Power Bi, the data can be shared with other BCM users.

TIP! You can share reports and collaborate using Power BI Service.

Are question numbers included in responses pulled into Microsoft's Power BI app?

• At this time, question numbers don’t display in XLS exports of Individual Responses or for responses pulled into Microsoft’s Power BI app.

How do I refresh my data set in Microsoft Power BI?
The SurveyMonkey Power BI integration is only supported for Power BI Desktop on a Windows PC. You can manually refresh data in Power BI Desktop by selecting Refresh on the Home ribbon. To schedule recurring refreshes, publish your data from Power BI Desktop to PowerBI.com.

Get Your Access Token for the SurveyMonkey Power BI Integration

To find your SurveyMonkey access token:

1. Go to My Apps from the SurveyMonkey App Directory.
2. Search for Microsoft Power BI in the App Directory.
3. Click Visit Site and then Authorize. Your access token appears on the screen.
4. Copy the access token for step four in the Refreshing Your Dataset instructions below.
    

Refreshing Your Dataset

Before refreshing your data, use the steps above to get your access token. To refresh your dataset:

1. Log into PowerBI.com after your data set is published from Power BI Desktop. Use the same credentials from Power BI Desktop.
2. Go to Datasets under My workspace
3. Click ... next to the dataset you want to refresh. Select Schedule refresh.
4. Under Data source credentials, enter your SurveyMonkey access token in the Account key field. If your credentials are invalid, click Edit credentials.
    

Once your credentials are accepted, click Scheduled refresh. Select the frequency and time zone then click Apply.

TIP! Repeat these steps for each data set you want to refresh.

To move from a paid subscription to the Ed-Tech Enterprise License, users must first cancel the auto-renewal, then accept an invitation to join the Ed-Tech license.

Cancel auto-renew for your existing subscription:

1. Review the below info on Special Cancellation Cases in case they refer to you.
2. Log in to your SurveyMonkey account.
3. Click your username in the upper-right corner and select My Account.
4. Click the Billing Details tab.
5. Under the Billing Profile section, go to Auto-renew.
6. Click the link next to the auto-renew setting to cancel auto-renew and follow the steps. Make sure to review the cancellation terms and date your account will downgrade (https://help.surveymonkey.com/en/surveymonkey/billing/downgrading/).

Notes: Once the account downgrades to the free Basic plan to end the subscription, then the user can accept an invitation to join the Enterprise team with the Ed-Tech account.  Once the auto-renew has been turned off, nothing will happen to the surveys or the data associated with them.

How to request an Ed-Tech Enterprise License

1. Confirm auto-renewal has been canceled for your existing subscription
2. Submit an Ed-Tech Survey Monkey Request form to request a license with Ed-Tech.
   • Include the username and email address used to created your original Survey Monkey account in the request.
3. Users will receive an invitation by email.  Once the invitation has been accepted, then the accounts will automatically be merged.
