Graduate Medical Education FAQs

Disclaimers: Baylor College of Medicine is not a hospital, if you have any questions about a particular doctor's office you will want to Google search that doctor and their office. GME only verifies the transitional year of a trainee.

If you are a trainee, remember to contact your program coordinator first. The GME Office is a support system for program leadership (Program Directors, Associate Program Directors, and Program Coordinators).  

Questions and Answers

Your main point of contact is ALWAYS your program coordinator or program director. 

Verifying programs will go through the specific program’s program coordinator. View the list of each program and their respective coordinators. You will want to contact the program coordinator first.

Address changes can be made through your MedHub portal. You will want to make sure when updating the contact information that you place the abbreviation US as the country code and TX as the state. If you spell the country and state out in full it will NOT properly auto populate. So, place US and TX in the appropriate places, just as this says to do. 

As a BCM resident or fellow you will have to set up your email information, view the step-by-step instructions. NOTE: you will not have access to this until 3-5 days prior to your start date.

  • For Employment Verifications, contact the BCM Records Department at records@bcm.edu. You will want to loop in the appropriate program coordinator. View the list of each program and their respective coordinators.
  • For Degree Verifications, contact registrar’s office at registrar@bcm.edu. You will want to loop in the appropriate program coordinator. View the list of each program and their respective coordinators.

  • View the Trainee Benefits (page 60 of the 2022 Resident Benefit Packet PDF) includes the Dependent Form.
  • Visit the BCM Benefits Home Page – Intranet and email benefits at ask-residentcare2@bcm.edu.

  1. Contact the Payroll Department: payroll@bcm.edu
  2. Go to https://intouch.bcm.edu/
  3. Log in with your BCM username and password (the username that begins with a u)
  4. Click along the top blue bar where you see the Microsoft Symbol (apps and tools)
  5. Click “company apps”
  6. Find Success Factors and click that tile
  7. You should see a “home button” with a drop-down menu in the left corner. Click “Employee File”. It should take you to your file in SF and on the blue bar under your name you should be able to see “bank details” listed under personal data. This is where you would edit it.

Each program has their own process for graduation. You should contact your program coordinator and they will make sure you get everything completed for graduation. View the list of each program and their respective coordinators.

For ADP Registration: If you HAVE already registered for ADP, go to www.myadp.com, then log on with your USER ID and the password that you created when you registered for ADP.

However, if you HAVE NOT registered for ADP, go to www.myadp.com and choose Create Account> Choose I have registration code> Enter the Registration code as: BYC1-MYADP (ALL UPPER CASE) > click on Enter Information> follow the steps to finish the registration process.

Once successfully registered in ADP you can access your earnings statements and your tax statements. 

Email payroll@bcm.edu for more assistance and provide them the error message along with the last 4 digits or your SSN# and your DOB for personal verification.

  • Diplomas will be handed out by your program coordinator. The diplomas are made in house, by our BCM creative team. Your program coordinators will pick up the diplomas and give them to each trainee once their graduation process had been fully completed and approved.
  • The GME Office is unable to securely email transcripts, however you may request a copy of your transcript to be sent electronically from our Parchment service: online storefront. There is a $3 fee for this expediated service and it is the only way to receive an electronic copy of your transcript. If you wish for your transcript to be mailed to a physical address or picked up in the office, please update your Transcript Request Form and return to registrar@bcm.edu.

As an inactive employee, you can access your W-2 and Earnings statements for three years after you leave BCM.

If you have already registered, log in to ADP. with your user ID and the password that you created when you registered for ADP. 

If you have not registered for ADP, visit the site and follow these instructions:

  • Choose "New user? Get started."
  • Choose "I have registration code."
  • Enter the registration code as: BYC1-MYADP (all upper case)
  • Click on "Enter Information"
  • Follow the steps to finish the registration process.

Please make copies of your statements before they get purged out of the system. Once purged it will no longer be available to be viewed.
