Non-BCM Rotation Process for Graduate Medical Education

To qualify for an elective rotation at Baylor College of Medicine for a learning experience that is not available at the home institution, you must meet the following requirements:

  • Elective rotations must have the approval of the department you are looking to rotate to (getting in touch with the BCM program coordinator) to ensure rotation is able to happen at your desired timeframe. 
  • Required rotations will need to go through the DRMAC approval process. 
  • Please contact Reagan Sadler for any and all questions about outside rotations. 
  • This process is ONLY for residents and fellows wishing to rotate through the Baylor College of Medicine system
  • Must be a U.S. Citizen or permanent resident.
  • Outside rotators that have a J-1 visa AND are currently a resident/fellow in the United States with the proper paperwork can work with the program at BCM to see if they are approved to rotate through.
  • Obtain a Texas Medical Board license or permit.
  • Sending in a PLA (Program Letter of Agreement) between Baylor College of Medicine and your institution for each rotation (must start this process at least three months in advance). The goals and objectives need to be included with the PLA for each rotation.
  • Pay elective fee, if not with an affiliated hospital.

    • MD Anderson Cancer Center 
    • St. Joseph’s Houston 
    • CHRISTUS San Antonio 
    • UTMB Galveston 
    • Baylor St. Luke's Medical Center
    • Military Medical Centers, example: Brooke Army Medical Center 
    • Baylor, Scott, & White
  • Non-BCM Rotation Application (there are additional documents to download within the description of this application)

Fees

The below fees apply based on the date that the GME office is notified of the visiting resident elective.

  • Processing Fee (waived for U.S. Military trainees and affiliated hospitals in the Medical Center)
  • $500 if GME is notified at least 90 days prior to start
  • $750 if GME is notified less than 90 days prior to start
  • $1,250 for any elective scheduled between June 1 – July 31

Frequently Asked Questions

No, you need to go through the proper channels – which means, your program coordinator will need to get with the program coordinator at BCM in the program you wish to rotate to, and they will speak to BCM’s point of contact. Your program coordinator is your liaison

If you are from outside of the United States, you can ONLY rotate through if you have a J-1 Visa AND are currently in the United States already as a resident or fellow working at an accredited hospital or medical school (again, your program coordinator can let you know if this would be appropriate or not to rotate).

Yes, if you have a J-1 visa, your program is aware of this and has approved it with the ECFMG. You will want to provide documentation of your I-94 Form, passport, and your DS-2019.

You can rotate through as long as you need, Baylor College of Medicine allows up to three years at a time and it is up to you to state how long you need to rotate for, this can be stated on the Smartsheet.

Yes, for non-affiliated hospitals there is a fee for each rotation. (View the affiliated hospitals below.) Please see the processing fees: here.

Yes, you can! If you happen to know the BCM ID number used in the past, you can enter that information in on the Smartsheet. Otherwise, we can look that up for you and place it in on our end of the process.

You will work with your program coordinator to get the elective rotation information filled out, in full, with the appropriate documents uploaded to Smartsheet and then the Graduate Medical Education point of contact will look over the forms. If all if completed properly it will go to our HR department where they will approve this request for rotation. Then the elective point of contact will get you your setup information for rotation.

The better you, as the trainee, fill out all your required documents and information the smoother the process will go.
