Self-Evaluation

Completing Your Self-Evaluation

Self-evaluation provides you the opportunity to advocate for yourself by providing important information to your evaluator regarding your performance and competencies. This process is also designed to give you time to reflect on where you are in your career and make plans for the coming year that will help you reach your career goals.

Before you begin your self-evaluation, take a few minutes to review the training materials available to you to help you get the most benefit from this experience.

Frequently Asked Questions About Self-Evaluation

I don’t understand a question or questions within the form. Who can I contact for further explanation?

How do I correct information that was pre-populated and is inaccurate?

Contact your department administrator.

What is the preferred format and file type for my CV attachment?

It is strongly encouraged that you maintain your CV in the Baylor College of Medicine format so that you have it ready when this format is required. However, it is not required that you use this format for your self-evaluation. Although the system will allow you to submit multiple file types, we kindly ask that you attach a pdf version of your CV. This will allow your supervisor to open your CV in his/her browser. Other file types will require your supervisor to open and save your CV as that specific (non-pdf) file type.

I have letters or other support from other individuals with whom I work at Baylor or outside Baylor that support my performance or competencies. Can I attach these the same way I attach my CV?

Yes. You may use the Supporting Documents feature to add such documents.

Must I have other supporting documents besides my CV?

No.

How do I upload my CV and other supporting documents?

To upload documents, click the white square in the upper right-hand quarter of the form with the image of a paper clip.

I have a question concerning goals that were pre-populated, goals that were set at the beginning of the year by my department, or I don’t have data (target or actual). Who do I contact?

Contact your department administrator.

Some of goals were pre-populated when I entered the system. Where do these come from and how do I delete them?

These were pre-populated by your department chair or evaluator and should not be deleted. If you have concerns about any of the goals listed, you may discuss these with your evaluator during your meeting or reach out to your department chair to discuss them in advance.

Some goals were pre-populated when I entered the system, but not all of them. Can I add goals?

Yes. You may add goals that were assigned by your department but not entered in the system as well as any other goals you have.

Why can’t I access the ratings during my self-evaluation?

All ratings will be assigned by your evaluator. You are encouraged to use the comments section to describe your performance and/or provide relevant information regarding your performance and competencies. Last year faculty provided a self-rating. Based on feedback from faculty and evaluators this feature was removed this year. Your feedback on this change is welcome. If you have comments or suggestions related to this change or any other aspect of the process, please contact facultyevaluation@bcm.edu.

I did not reach a target for one or more of my goals, but there were extenuating circumstances not reflected in the form. How do I include this information?

Use the comments field to provide all information relevant to your performance for each goal.

When should goals for the upcoming academic year be entered?

You may create a goal plan for the upcoming year at any stage in the process. Ideally, your department chair will provide you with goals and you and your evaluator should discuss these during your meeting. If additional goals come up during the year, you may return to the system and enter goals at any time throughout the year.

The system will not allow me to submit the form? Why?

You will need to complete all required items marked with an asterisk (*). The incomplete items button at the top will identify actions still required for form completion.

For SACSCOC purposes current CVs must be on file for all full- and part-time faculty members, so this is the College’s means of collecting these CVs. View information about the College's SACSCOC accreditation.

After Your Self-Evaluation

What happens after I submit my self-evaluation?

Your department-identified evaluator (in many cases, the supervisor) will receive an email notification and the form will be sent to an electronic file for evaluator review and discussion. Your evaluator can give ratings and add comments in the various sections and prepare the form for the discussion phase.

May the process be completed electronically, without a meeting between the faculty member and evaluator?

A meeting is required. This meeting should occur during the evaluator’s review and discussion step, depending upon your evaluator’s approach:

• Your evaluator may want to save (but not electronically submit) the form until he/she has had an opportunity to meet with you for the evaluator review and discussion phase.

• If an evaluator feels that his/her comments are thorough, he/she may want to send the form as a PDF to the faculty member and then schedule the face-to-face meeting. After the evaluator review and discussion is complete, the form will be sent to the faculty member for signature.

An in-person meeting to discuss the assessment and planning is the most important part of the review process.

My opinion of my performance on a goal significantly differs from the rating my evaluator provided. How do I address this?

Differences in opinion should be addressed during your meeting with your evaluator. If the difference cannot be satisfactorily resolved in this meeting, and one or both of you feel that further support is needed to address, you may reach out to your department chair or administrator or Employee Relations.

I found the tone or language used by my evaluator upsetting or offensive. What resources are available to address this?

If your evaluator is someone other than your department chair, you may want to discuss this with your chair first. If this does not resolve the issue or you feel uncomfortable going to your chair about this, you may contact Employee Relations.
