Is it safe to store Patient Health Information (PHI) on Box?

BCM does currently have a required Business Associate Agreement (BAA) with Box.com; however, the policy of the College is to leverage the Electronic Medical Record (EMR) in Epic as the primary means for storing and managing patient identifying information or the BCM Cloud on-premise storage available through the Discovery Cloud 1.0 website.

In November 2012, Box achieved compliance with HIPAA and HITECH obligations, reinforcing our position as the secure cloud platform for collaboration, external sharing and mobile productivity. I accidentally deleted a file from my Box at BCM account. How can I recover it?

Content

Any file that you delete is kept in your “Trash” for 30 days. To recover it, click on the “Trash” link, under “Resources” on the right side of the main “Files and Folders” page within your Box account. Find your file, click the drop down arrow to the right of the file name and then click “Restore”. The file will be restored to its original location.

After 30 days, the file may still be recovered; however, you will have to contact the OIT Help Desk.

How can I use Box at BCM account with my Share Drive?

Content

You can use your Share Drive to mount a file system to an instrument, device or a computer. The mapping of the drive will appear as a drive letter in Windows or a mount point in Linux. A share drive is ideal for large files and images, sharing data across computers. You can use drag and drop to move individual files between your Discovery share drive and Box to share and collaborate with others. For large file transfer, visit the content migration section of this web site or consult with OIT first.

What apps are available under BCM Enterprise contract agreement with Box?

The Box apps platform is available to all users. Visit the Overview and FAQ site for more information.

Third Party Apps: There are well over 100 apps that have been developed by other companies, which are neither contractually covered nor supported by Box. Support for third party apps is on a per request basis to BCM OIT. All internally published Box applications for sync, edit, and mobility are enabled by default. All other third party apps will be by request.

You can track the versions of documents in Box natively, so there is no need to ‘save as’ and create many different versions of the same file. As you create new versions, Box will append a version number to the file. You can roll back to a previous version if you make any mistakes. With automatic versioning, you can be sure you are working on the latest version of a file.

Absolutely, Install Box mobile for your preferred device. If you anticipate working offline for an extended period of time you can make a folder a favorite for offline access in the Box Mobile app. This stores a local copy of the content on your mobile device. When combined with a strategy for Box Sync, you can ensure that you always have access to your content.
